Booking systems for businesses Calendly can't model

Off-the-shelf booking tools are brilliant — until your business has rules they can't express. Multiple resources, qualified staff, variable durations, deposits, group sessions, seasonal pricing. When you're fighting your booking tool weekly, it's time it worked your way instead.

what we build

Booking logic we've built

Resource & room booking

Rooms, courts, vehicles, equipment — with buffers, setup times, dependencies ("the projector lives in room 2") and conflict rules enforced automatically.

Appointment & rota scheduling

The right staff member, the right skills, the right location — matched to working patterns and holidays your managers control.

Classes, courses & events

Capacity, waiting lists, recurring sessions, block bookings, transfer and cancellation policies that enforce themselves politely.

Payments & deposits

Deposits, full prepayment, no-show fees and refund rules through Stripe or your provider — because a booking with money attached is far less likely to be forgotten.

Reminders & communications

Email and SMS confirmations, reminders and follow-ups. No-show rates drop measurably the day reminders go live.

Calendar & system sync

Two-way sync with Google/Outlook calendars and connections to your CRM and accounts — bookings flow through the business without re-keying.

// the honest bit

Do you need custom?

If Calendly, Acuity or a booking plugin models your rules with a workaround or two — use them, they're excellent and cost pennies. Custom is for when the workarounds have become the job: double-bookings from rules the tool can't see, staff juggling three calendars, or "call us to book" costing you the customers who won't. We'll tell you which side of the line you're on in the first conversation.

Common questions

Can it plug into our existing website?

Yes — booking flows embed cleanly into WordPress, Drupal or any site we build or inherit, matching your design rather than looking bolted-on.

What does a booking system cost?

Focused systems typically start around £10,000–£18,000 depending on rule complexity and integrations. Discovery produces a fixed quote before anything is built.

What happens to bookings if the system goes down?

We build on reliable managed infrastructure with monitoring and backups — see our DevOps & hosting work — and every booking lives in your database, exportable at any time. It's your data.

Describe your trickiest booking rule

The one that breaks every off-the-shelf tool. A developer will tell you how we'd model it — usually the same day.
